About the Genealogical Society of Victoria

The Genealogical Society of Victoria is a leading Australian family history organisation, supporting members in discovering and researching their ancestors and promoting the study of genealogy. Established in 1941, the GSV is a notforprofit organisation dedicated to encouraging and assisting people with their family history research.

Members are supported by experienced volunteer research assistants and can participate in a wide range of educational events and discussion circles that foster collaboration, connecting likeminded people across many areas of interest. As technological innovations develop and as new resources become available, the GSV will also develop new activities.

The GSV operates from its centrally located Research & Education Centre at Level 1, 10 Queen Street, Melbourne.

The Opportunity

The GSV is seeking an experienced and motivated administrator with an interest in the genealogy field. This role is offered as a job share, working closely with your job share partner to provide consistent, reliable support across the week.

As the Society relies heavily on volunteers and has a small library team, this position plays a key role in ensuring daytoday operations run smoothly. The role is fully on site and requires inperson attendance.

This is a permanent 12 hours per week (comprising two days each on a job share basis) position,Tuesday to Friday, 9:30am to 4:00pm, with the specific two days negotiated.
Salary $20,592 (12 hours per week @$33.00/hour)

Key Responsibilities

In this role, you will:

  • Manage new and continuing membership matters, maintaining accurate records using our CiviCRM management software and ensuring a positive member experience
  • Respond to enquiries from members and the wider community across phone, email and inperson channels
  • Provide a warm, informed frontofhouse presence for members, working alongside our library staff and volunteer research assistants
  • Open and close the GSV Centre on your days of work supporting a professional, organised and welcoming environment
  • Prepare routine management reports, and compile and provide details for the Treasurer and Bookkeeper and others as required
  • Deliver flexible administrative support across the Society, contributing to smooth operations and adapting to evolving needs

About You

You bring a genuine commitment to member service and a confident, peoplefocused approach to your work. Strong communication skills enable you to engage effectively with staff, members, volunteers and visitors. Whether working collaboratively within a small team or independently, you are organised, professional and comfortable managing a steady flow of enquiries and tasks.

While not essential, experience with family history research, familiarity with genealogical resources, social media and confidence using online databases/CiviCRM will be considered advantageous.
